Privacy Policy
Arimatsu Chushin Yamori LLC ("we", "us") handles the personal information we collect in connection with the Historic Districts PR Project of the City of Nagoya in accordance with the policy set out below.
This is an English reference translation of the Japanese original. The Japanese version prevails in the event of any discrepancy.
1. Information we collect
In providing our services, we may collect the following information.
- Contact details such as your name, email address and telephone number
- Booking details such as the programme booked, number of participants, and date and time of participation
- Payment-related information (payments are processed by an external payment provider; we do not retain card numbers or similar data)
- The content of your enquiries
- Your survey responses (collected anonymously — see section 3)
- Usage information such as access logs, cookies and details of your browsing environment
2. Purposes of use
We use the personal information we collect within the scope of the following purposes.
- Accepting, confirming, amending and cancelling bookings
- Delivering experience programmes and providing information on the day
- Responding to enquiries
- Improving our services and compiling statistics (processed so that individuals cannot be identified)
- Sending important notices, and other information within the scope of your consent
3. Surveys and benefit claims
Post-participation survey
- Survey responses are stored anonymously. We do not store your name, email address, booking reference or any other item that would identify you or allow a response to be linked back to your booking or benefit claim. We have no way of knowing whose response a given answer is.
- We do store which programme you joined and the date it took place, for aggregation purposes. Because an individual could be inferred where very few people responded, we do not publish any breakdown with fewer than three responses.
- Only where you consent to being contacted for a later follow-up survey do we store your email address, kept separate from the response itself. We use it solely to invite you to that follow-up survey and delete it once this project ends; you may also ask us to delete it sooner via the contact point below.
Arimatsu Osanpo Kippu holder benefit claims (JPY 500)
- We use your booking confirmation code (or telephone number) together with the email address registered with your booking solely to verify your booking. The email address is converted into an irreversible form (a hash) before storage and is never stored as entered. Where you claim using a telephone number, only the last four digits are stored.
- To prevent duplicate and fraudulent claims, the IP address used to submit the claim is also converted into a hash before storage.
- Refunds are issued through our payment provider. We do not retain card numbers or similar data.
4. Disclosure to third parties
Except where permitted by law, we do not provide personal information to third parties without obtaining your prior consent. How your information is handled when we use external services such as payment and booking platforms is set out in Handling and Third-Party Transfer of Personal Data.
5. Outsourcing
We may outsource the handling of personal information to external parties to the extent necessary to achieve the purposes of use. Where we do so, we exercise appropriate supervision over the contractor.
6. Security measures
We take the necessary and appropriate measures to prevent the leakage, loss or damage of personal information and to otherwise manage it securely.
7. Requests for disclosure, correction or suspension of use
Where you request disclosure, correction, addition, deletion or suspension of use of your personal information, we will verify your identity and respond in accordance with applicable law. Please direct such requests to the contact point below.
